Registration status

Once registration opens, you will be able to:

• Create or log in to your AQMCSE 2026 account
• Select your registration category (delegate, student, etc.)
• Register for the main conference and social events
• Request a visa invitation letter if required

We recommend that all prospective participants check this page regularly and book travel and accommodation in time once their participation is confirmed.

What is included

The AQMCSE 2026 registration fee is expected to include:

• Access to all scientific sessions and keynote lectures
• Access to poster sessions and industry / networking events
• Conference materials (programme, abstract collection, name badge)
• Coffee breaks and lunches on conference days
• Welcome Reception
• Conference Dinner (depending on category / availability)

Details per registration category and any optional items (e.g., additional dinner tickets, technical tours) will be specified when registration opens.

Payment & invoice

The online registration system will support secure payment options such as:

• Credit card
• Bank transfer
• Other local / online methods (to be confirmed)

An official invoice (and payment confirmation) will be available for download from your personal conference account once your registration has been processed.

Visa invitation letters

Participants who require a visa to travel to the Netherlands can request an official visa invitation letter once they have completed their conference registration.

2. Complete your registration and payment
3. Go to Dashboard → Visa Invitation Letter to download your letter

Please ensure that your profile information (name, affiliation, address and passport details, if required) is complete and correct, as this data will be used in the letter. The conference organisers cannot influence individual visa decisions and are not responsible for delays in the visa process.

Visa application timing

We strongly recommend that participants who need a visa:

• Check the visa requirements of the Dutch embassy or consulate in their country
• Register for the conference as early as possible
• Start the visa application process well in advance of the conference dates

Cancellation policy

The detailed cancellation policy (deadlines, refund levels and administrative fees) will be published together with the registration fees.

As a general guideline, we expect that partial refunds will be possible only up to a certain date before the conference. After this date, registrations may be non-refundable due to fixed costs that the organisers must cover.

Name changes

In many cases it will be possible to transfer a registration from one person to another within the same organisation (name change), subject to the conference office's approval and administrative timelines.

Instructions for requesting a name change will be added once registration is open.
